From here we will teach you how to create and edit alarms, sort and manage your favorite ToDo's and understand the time/distance/priority features of GPS ToDo ListTM.


The top of the Main Screen has 7 buttons.
The top three take you to other screens to help you create and manage your ToDo's.
Favorites, Overview and New ToDo.

The next four allow you to sort your ToDo list by Name, Date, Priority, or Distance (how far you are from the ToDo right now).
*Sorting may give you seemingly unusual results until you realize a Ending Time (Date), Priority, and Location (Distance) are all optional.

You might notice that we have included a default alarm for you, inviting you to visit a Vermont B&B.

This is a summary of our ToDo. Clicking on it will take us to a new page where we can access much more information. This ToDo tells us that The Name of the ToDo is Liberty Hill Farm.
We've picked out an nice icon of a barn. (It is a B&B at a farm after all) The Note is a the first four lines of the description. The Ending Time for this ToDo is tomorrow at 11:13am. We are currently 1669 miles for Vermont. (your distance may vary) It has a High Priority. There is a $90 budget. And we are almost done with this project. (the pie chart)

The bottom of our Main Screen has a series of indicators and buttons on it.

*Your configuration will very depending on your device. If you are using an iPhone 3G, 2G or iPod touch you will only see the Satellite and Question Mark.

The Satellite show your current GPS signal strength. If you have not allowed GPS ToDo List to track your location it will be crossed out with a . You will need to go to the Setting control panel of you iPhone then General / Location Services and switch it on for GPStodoList. This is, after all, a program that uses your location to remind you of the things you need to do. If you don't you will get an endlist stream of warnings that the program requires you to do this.

The rest, 9to5 Zzz, Moon Zzz, and Background Services all have to do with Multitasking / Background Processing (and how to save power)
*The Big Caveat. The GPS on the iPhone uses A LOT of power! Leaving the GPS on all the time would drain your battery in about 4 hours. We have done our very best to reduce this by turning the GPS off as much as possible,

and guessing when you need it back on again. It is not perfect, but we are trying. These setting will help even more. When in doubt, just activate GPS ToDo List again. It will re-calculate your position and make a whole new set of assumptions about when you are going to be at or near your ToDo's.

Creating a ToDo

Creating a new ToDo may seem a little daunting, but with just a few steps you can make it as simple or complex as you like.
Clicking the New ToDo button brings you to the New ToDo screen.
This screen has four manin sections.

Section 1 is a summary of the ToDo attributes.

The ICON gives you a quick visual clue as to the ToDo, and is selected from Section 3.

Give your ToDo a NAME. Just Type it in this field.

The DONE button will put a check mark over the icon, and prevent it from triggering an alert.Once you have completed a tast you might want to mark it as Done.

The DELETE button will erase the ToDo from your list.

If you have set an Ending Time alarm it will show here.
If you have set a Project Completion percentage it will show here.
And finally if you have set a Budget it will show here.
You can touch any of these and be taken to their control screen. More on these below...

Section 2 Notes
Touching just below the icon allows to you enter a NOTE. The first few lines of the NOTE will appear on the Main Screens list.

    If you have a web address or phone number in the NOTE you can use the Active / No Edit button to enable the hyper links and direct dial phone numbers. These can only be used while not in Edit Mode. So if you want to type more click the Deactivate / Edit button.

    Section 3. Icons

    GPS ToDo List has over 160 icons to choose from.
    These are just another way to help you organize your day.

    Section 4. The ToDo Controls.

    These buttons take to you six additional control screens that help you set optional features for the ToDo.
    Budget, Share/Email, Directions, Time/Priority, Location, Favorites

    The most important of these are Location and Time/Priority.

    But we'll start on the left and work that way...

    Budgets and Project Progress

    Here you have a new screen with a calculator and a slider.

    The calculator lets you set a Budget and add or subtract from it.
    To set a Budget enter the amont of your original Budget and click SAVE.

    Now you can go back to the screen and add an subtract amounts from that budget. What ever amount you have showing on the in the display, when you click SAVE, is the amount stored as your Balance. If you need to start over, click the "clear" button next to your Budget.
    The amount left in the budget also shows on the Main Screen list.

    The Progress slider lets you convey how much of a project is completed
    A pie chart on the main screen, show how much of the project is complete

    Note that the icon turns from blue to green when you have saved information.

    Sharing is a great feature to come to GPS ToDo List with version 3.0

    It lets you send all of the information in a ToDo to anyone with an email address.
    The really cool part is that it lets you import someone else's ToDo's as well. Name, Note, Location Time, Priority, Budget, etc.

    Simply tap the Share/eMail button and enter an eMail address, and click send. That's it.

    The iPhone will launch GPS ToDo List, You will then see the Import button on the top of the screen. Touch it, and your new ToDo is now saved on your iPhone.

    *If you have upgraded from Christmas List, Birthday List, GPS ToDo Lite, or other versions; you may need to uninstall them and restart your iPhone. This will direct the iPhone to open the link with the correct program. This has todo with which program thinks it has the rights to "gpstodolist://"

    If you have ToDo's which you need to save from a free version, X-mas, B-day, or Lite, please do the following.

    1. Open your free version.
    2. "Share" your ToDo's with your self, by eMail.
    3. Purchase and install GPS ToDo List.
    4. Delete your free software, Xmas, B-Day,Lite.
    5. Restart your iPhone, by powering it down completely
    6. Now the iPhone will recognize GPS ToDo List as the recipient of the import link.
    7. If you need to you can reinstall your free software.

    If you are having problems with this feature, please be sure that you are NOT using any unusual letters or characters in the note. The "import" feature uses a very long web address, and some characters are "illegal" in the web's code.

    The DIRECTIONS feature switches you to the GoogleMaps application on the iPhone. It plots the location of your ToDo and finds your current location. With just a few simple clicks you can get directions from where you are, to where you need to be.

    If you want to add an Ending Time to the ToDo, press the TIME / PRIORITY button.

    On the Time screen you can set a time and date at which you would like an alarm to go off.
    If you have IOS4 this alarm will go off whether-or-not you have a device capable of Multitasking. Making it very useful for 3G owners.

    The Priority slider lets you see and sort ToDo's by how important they are to you.

    It's not just a nice reminder. It's also a very handy tool for getting things done when it's most convenient for you.

    Setting a Location.
    (Pay attention, here's the reason you bought the program)

    When you enter the Location screen the iPhone will attempt to find your location*

    *Using "Known Wi-Fi Locations" for iPod Touch, and original iPhones. (when Wi-Fi is turned on, and you are at a "Known Wi-Fi Location") Cell Tower triangulation, iPhone and iPhone 3G(S). And GPS on the iPhone 3G(S). The ability to find your location is dependent on clear signal strength, the equipment use to by your telephone company, and or ISP. GPS signal strength is highest out side with a clear view of a lot of the sky. And is dependent on whether enough satellites are orbiting above you at that moment.

    Pressing the location button will take you to your current location.
    It can take up to 12 seconds for the iPhone to find it's location under normal conditions.

    Pressing the ToDo button will show you where you have previously set this ToDo.

    The Hybride map button toggles back and forth between a Hybrid map and a plane street map.

    There are Data and Satellite indicators to let you know if you have an internet connection, and the strength of your GPS signal The map is only updated if you have an internet connection. It's loading speed will vary.

    If the GPS can find your location, the map will zoom into where you are. If you have previously set a ToDo, the Map will center on the ToDo.

    Either way you can zoom around the map and find the location for you ToDo. Personally I like to use the standard street map to get my basic location. Then I switch to hybride to see where the buildings are...

    Pressing the Set Pin Location button makes your current location available to be saved in the program.

    • If the iPhone can not find your location, you will get a dialoge box saying that you are hard to find.
    • Please make sure you have a clear view of the sky for a GPS fix; a known Wi-Fi location. Or a strong cell tower signal.
    • If you are not sure if it is receiving properly try finding your location in the Google Maps program that comes with you iPhone. If Google Maps can not fix your location GPS ToDo List wont do it either.
    • If you have denied GPS ToDo List the ability to find your location, you will need to go to the iPhones home screen; Settings/General/LocationServices and turn them on.
    • Remember 2G iPhones and iPod's do not have a GPS.

    Next you can set the Notification Distance.
    This is the distance you can be, from this location you just set, and have an alarm go off.

    *Remember accuracy of the iPhones GPS varies between 12 and 150 feet at any given time, depending on where the satellites are in there obits and can be off by a few miles under bad conditions. So play around and see what works best for you.

    You want to consider how large the place is. If you go to the Mall, it might be a mile across. Driving “near it” might mean passing with in 5 miles. The gas station down the street might be small but you need a 1/4 mile distance notification so you have time to think about it as you approach in your car. Remembering to do something at your house or office needs only 100 feet, because you’ll be at your house.

    Growing Alarms

    Notification Distances that get bigger with time.

    Setting an Ending Time, Location, and Maximum Distance allows the program to calculate your distance from the ToDo, how important it is to you, and when you need to get it done by. These factors are then used to create a sliding scale for how far out-of-your-way you should go to get it done.

    First: Click on to uncover The Maximum Distance slider.

    Set this to the farthest out you want to be from your ToDo and still get an alarm.

    Second: Save and return to the previous screen.

    Third: If you have not already set an Ending Time and Priority you will be prompted to do so.

    • The None Priority will not grow the Alarm.
    • Low Priority will grow it very slowly at first and then ramp it up at the end.
    • Medium Priority will grow it steadily from start to finnish.
    • High Priority will grow it rapidly.

    These setting will now work in conjunction to grow the distance you can be from your ToDo, and have it go off.

    *When growing an alarm, the Starting Notification Distance is the distance at the time the ToDo was first created.
    *You can rest this if you need to by clicking and entering a new End_Time. This will also reset the starting time to today.

    Overview Map.

    You can get an overview of all your ToDo's by click the Overview button on the main screen.
    The iPhone will attempt to find your location, and show you all the ToDo's that you have set Locations for.

    Click Back to List to return to the main screen.

    The Favorites button lets you save your current settings and recall them later. It will store the name, location and icon of the ToDo.
    *There is a known issue with the Favorites list. Under some circumstances it can become corrupted. You just need to quit GPS ToDo List and restart. If you have a 3Gs or iPhone 4 be sure you kill it out of the Multitasking menu. (Double click on the Home Button. Locate it in the menu at the bottom of the screen. Hold down on it until a minus sign appears on it. Click it to kill it. Then you can restart, and the Favorite List will refresh itself. )

    Multitasking / Background Processing
    (and how to save power)

    The GPS in the iPhone uses A LOT of power. In this screen we give 3Gs and iPhone 4 users the ability to shut down the background processing at certain times of the day.

    Two times of day are big culprits for waisted power. The middle of the night, and while you're at work. (Monday - Friday)

    If you don't move around during these times, let GPS ToDo List shutdown. At the end of the cycle you will get an alert to restart GPS ToDo List. Click it to restart. If you don't you wont get any alerts, the program is off.

    You can also deactivate all background processing by clicking the Master Background Processing button.

    Using these features will not affect Ending Time alerts, as they are stored with the operating system.

    Alarms and Alerts

    When a ToDo is triggered, by time or distance, an alarm will sound, and a menu will give you four options.

    • Snooze the ToDo for 30 minutes.
    • Snooze the ToDo for 1 day
    • View the details of the ToDo.
    • Mark it as Done.

    If you are running GPS ToDo List in the background (3Gs, iPhone 4) an alarm will sound and a alert menu will ask if you want to view the ToDo. Clicking on it will open GPS ToDo List.

    *FAVORITES LIST There is a known issue with the Favorites list. Under some circumstances it can become corrupted. You just need to quit GPS ToDo List and restart.     *GPS Under some circumstances the GPS seems to get stuck and unable to find you. The first thing I recommend is switching to the Google Maps program and see if it can find you. If not, power down and restart your device. It takes at least 12 seconds for the GPS to get your location. That's with a clear shot of the sky. Lots of sky. The signal strength will be greatly diminished inside a building. Some times giving you false readings.
